Common starting situations

When the system is built but nobody has time to run it.

  • A CRM going stale

Duplicates, empty fields and old stages build up because nobody has time to tidy them.

  • Automation nobody checks

Workflows were built once, and nobody notices when one stops working.

  • Campaigns that slip

Emails and posts go out late, or not at all, whenever the team gets busy.

  • Leads waiting for follow-up

Enquiries sit in the CRM without the next call, message or appointment being booked.

  • The founder does the admin

Senior time goes on data entry, scheduling and reports that someone else could own.

  • Not ready for a full-time hire

There is real, regular work to do, but not yet enough to justify a permanent role.

A new tool rarely fixes these. Someone with the time and the skills to run the system every week usually does.

The roles

Five specialist roles for growth work.

Each VA is matched to one defined role. Start with the role where work is piling up, and add others as the need becomes clear.

CRM and automation VA

CRM upkeep, contact hygiene, workflow monitoring and reporting, so the system stays accurate and the automation keeps running.

What makes it work

A defined role, not an open-ended inbox.

A VA is most useful when everyone knows what the role covers. That is settled before anyone starts.

Scope agreed up front

The tasks, tools and limits of the role are written into the proposal before anyone starts, so nothing is assumed.

Inside your systems

Work happens in your CRM, email platform and channels, following your processes, so the data and history stay with you.

One owner on your side

A named contact sets priorities and approves work, so direction comes from one place rather than several.

Processes not written down yet? CRM implementation sets up and documents the system a specialist will run.

Before and after

What we need from you, and what you receive.

What we need

Confirmed during discovery

  • The work you want the role to take on
  • Access to your CRM, email platform and other tools
  • Your processes, or time to walk us through them
  • A named contact who sets priorities
  • How you want work reported

What you receive

Final scope set in your proposal

  • A Tier 1 VA matched to the role
  • A written role scope agreed before work starts
  • Routine work done inside your systems
  • Reporting on the work, as agreed in the proposal
  • The scope reviewed as your needs change

Is this right for you?

A specialist runs a system. It does not replace one.

Usually a good fit

Businesses that have invested in a CRM, email platform or marketing plan and need regular, reliable hands to keep it running, without the cost and commitment of a full-time hire.

Fix this first

If the CRM or automation does not work yet, a VA will spend their time working around it. Start with CRM implementation, or with consultancy if you are not sure which work matters most.

Questions

Specialist staffing FAQs

Understanding specialist staffing

What is specialist staffing?

Specialist staffing provides Tier 1 virtual assistants for growth and automation work. They operate and maintain the systems a business has invested in, such as the CRM, email platform and social channels, so those systems stay in use after they are built.

Which roles can a Sage Kite VA fill?

Five roles: CRM and automation, marketing operations, email marketing, social media, and lead generation and sales support. Each VA is matched to one defined role, and the scope of that role is agreed before anyone starts.

What does a CRM and automation VA do?

They keep the CRM accurate and the automation working: updating records, merging duplicates, keeping tags and fields consistent, checking that workflows run as intended, flagging problems and preparing routine reports.

How is a specialist VA different from a freelancer or a full-time hire?

A freelancer is usually found, briefed and managed by you, task by task. A full-time hire is a long-term commitment with salary and benefits. A Sage Kite VA is matched to a defined role in growth and automation work, with the scope agreed in a proposal before work starts.

Will the VA work in our tools and follow our processes?

Yes. They work inside your CRM, email platform and other tools, following your processes. If those processes are not written down yet, we will say so during discovery, because a documented process makes the role easier to hand over and check.

Working together

How is specialist staffing priced?

Every engagement starts with a discovery call. The proposal then sets out the role, scope and price before anyone starts. Platform subscriptions and advertising spend are separate from our fee.

Who manages the VA day to day?

You name a contact on your side who sets priorities and approves work. The scope, and how work is reported and reviewed, are agreed in the proposal, so both sides know what the role covers.

Do we need a CRM project before bringing in a VA?

Not if your systems already work. A VA keeps a working system running; they are not a substitute for setting it up. If the CRM or automation needs fixing first, we will recommend CRM implementation before the role starts.

Can a VA support our in-house team or agency?

Yes. A VA can take routine work off your team or agency, such as CRM upkeep, scheduling or reporting, so the people who plan, market and sell can spend their time on that.

Keep the systems you built in use.

A discovery call looks at the work piling up, the systems it lives in, who would manage it, and what a scoped specialist role would cover.
